有時候,我們需要對方提供有關產品的詳細資料,以確認自己真的需要該產品,因此,你可能需要發電郵等書函去索取更多的資料。在索取資料時,我們先要介紹自己,並告知對方你從哪裏得知他們公司。一般情況下,索取對方的宣傳冊子和價目表都是免費的,有時甚至少量的樣板也是免費的。而對方通常也樂意提供這些,畢竟你極有可能是潛在買家,與你打好交到也只不過是在商言商而已。
在索取資料時,你的電郵或信函應包括下列三點。在這三方面的內容,筆者更提供了一個簡易模板,方便讀者可以即學即用。1. 首先要簡單寫明得知對方公司的過程
We learn from __________ (訊息來源) that you are __________ (*供應商身分). We __________ (關注產品途徑)and became much interested in your __________ (產品名稱).
*例如:the sole office furniture exporter in Hong Kong/ one of the leading office furniture dealers in Hong Kong.
2. 自我介紹公司,詳述經營類別、範圍及經營狀況等,然後提出要求,希望對方能免費寄送宣傳冊子、產品目錄、價目表等,並說明用意。
We are __________(公司自我介紹). As we are interested in doing business with you, we would like you to send us __________ (郵寄方式)(A) the detailed information about __________ (預購產品) to __________ (郵寄地址). The demand for __________(產品類型) in our market is substantial. (B)
A) 懇請對方郵寄資料時,我們還可以使用以下句式:
- We would like you to email us…
- Please send us by Fedex/ DHL/ airmail…
- We expect you to email us…
- …is now in substantial demand in our market.
- There is a very heavy demand for …. in our current market.
- There is a considerable demand here for all kinds of …
3. 真誠地希望能與對方建立良好的合作關係,並表達懇求對方能盡快回覆的心情。如果任何問題的話,請隨時與自己聯絡。
Your immediate attention is highly appreciated. (C) If you have any questions, please contact me at __________ (聯絡方式).
C) 當表達希望對方盡快辦理此事,可以使用以下的句式:
- We would greatly appreciate if you could give this matter immediate attention.
- We would be grateful if you could take care of this matter at your soonest convenience.
- Your prompt attention to this matter is highly appreciated.
